So you want to outsource… some ideas on how to get help

Lately I have been pondering on this crazy life as a small business owner.  Fourteen years in, I have thought about how much work it has been, but how much joy there has been too.  It is crazy to think that as a college student I started my business and have maintained the business through the rise and fall of the economy, getting through three newborn and toddler stages, moving a number of times, and watching the market of photographers double in my area.  It has not been easy, and I have not “made it” in any way.  There are still days I struggle and fight to even want to work for myself, and I secretly long for a desk and someone else to worry about my bookkeeping.  But I also know that this is what I was created to do.  I honestly could never have made it without the drive and passion for photography along with a few other techniques that have helped me along the way.

I have decided to start a mini series every Thursday (until I run out of ideas!) for those of you just starting your businesses and have small kiddos at home.  These ideas are ways that helped me along the way when I was struggling to find balance between being a mom and a business owner.  Of course things not all these ideas will work for you, but take them with a grain of salt and add them to your list of ideas as you continue to grow your business and raise those sweet babies!

The number one best thing I have ever done for my business and one that I WISH I would have done a long time ago was hire an editor.  Mind you, I am a little bit of a control freak when it comes to editing my photos.  And this is a good thing, right?!  Because it is MY art and part of the post processing shows more of who I am.  I am able to add my artistic touches and flares which make up who I am as an artist. Because I spent hours upon hours in the darkroom perfecting my art in college, I likened this process to the darkroom and to give it over would be to give up my art.  It was hard, initially, for me to give this over because I thought this person would be taking over my creative abilities and it was another expense that I thought I could avoid, but in reality it was killing me.  I would spend long hours at the computer after putting my kids to bed and spend time away from my husband and friends.  I had no balance of work/ home life. I struggled with this for a LONG time, and considered hiring someone, but never moved forward with it until last year.

Now that all my kids were in school, summers were the only time I had to spend with them.  In the past I had hired nanny’s (which I will get to in another post!) to cart them around, play with during the day, and bring them to activities while I would spend the summer days at my computer looking out the window at my kids playing with someone else.  I was tired of not seeing them and realized that as they were growing up, I was missing time well spent with them.

So in March of last year, I began my search, and thankfully my search ended not long before it began.  I was referred to a woman in my area who was looking for more work, and we meshed right away.  She was, and is, a complete blessing.  It did take a little time getting the images the way I wanted. I felt so much freedom in culling through a wedding or a session right after I shot it, and then send them her way, only to have them back in a few days.  I also realized that because this was her gifting, she was actually able to edit in a way I could not, and I was able to get the photos back to my clients faster than I ever had in the past which was a benefit to my business and to my moral!

 

No longer am I staying up until the wee hours of the night.  I am now able to go to my kids soccer games and gymnastics practices.  There are a few nights that I will work later than usual (typically in the busy seasons of September and October), but during the summer I am able to enjoy the hot summer days with my kids at the beach, the park and the zoo.  Now I work the editing fee into my prices and am able to confidently say to my clients that they will see their weddings in two- three weeks (rather than six) and their family sessions within one week of their session.  And in a day and age where we want to see things right away, this is huge to my client as well as to me!

    February 1st is the new January 1st…

    While perusing Instagram the other day I read this quote and was moved to make it my own. For some reason we (I?) tend to think of January 1st as some magical day where change needs to happen and new resolutions can begin. But let me tell you, January 1st has never been that for me. I am not a resolution kind of gal. I really and truly wish I was, but for me January 1st rolled around and I, well let’s just be honest, rolled out of bed.

    After running around like a mad chicken from the beginning of August until December 31st, there wasn’t one ounce of me that wanted to sit down and think through goals and resolutions. I just wanted, and very much needed, time to rest and regroup. And as hard as that is for me to go from 80 to ZERO, I needed it. It is not at all in my nature to rest and relax, but it has been a really wonderful season for me. And as I haven’t rested the entire month, it has been more like a Sunday afternoon drive rather than a Nascar race.

    So as February begins, so do my goals and resolutions, and as I have been reading other blogs that are not photographer related, I have found that one of the things that may keep me motivated and staying on track this year with my goals are to publicly display them for accountably purposes. Now I am not even sure how many people read this blog, but I am assuming one person will and if you see me, please ask me where I am at, and hopefully I will be much further along then than I am now!! So here’s to an amazing 2016 and for keeping and setting goals!!

    Goals for Quarter One of 2016, both personal and work related::
    1) Re-do website
    2) Re-work Welcome and Marketing Materials
    3) Blog 3-5 times per week (One blog geared toward brides, one toward Photographers, one for Lifestyle)
    4) Work on getting internship materials together for summer intern
    5) Finish tax prep and give to accountant by February 28
    6) Social Media marketing plan together
    7) Work on Vendor Marketing materials
    8) Work out 30 minutes 3-5 times/ week
    9) Have kids evening chore routines put in place
    10) Every Sunday night, plan for week both in family and work responsibilities

      Making photography a full time profession

      Last week I got an e-mail from an aspiring photographer in another state.  As I though about the way I was answering her e-mail, it reminded me of when I started and the work, and continued work, that goes into owning a business.  Here is a snippet of the e-mail in an effort to help any of you aspiring to take your business to the next level!

      Good Afternoon Karen, 

      I was given your information from a friend of mine, and she couldn’t say enough friendly things about you. She loves your work and sees that your photography business is doing well and thought maybe you could lend some helpful information for a fellow photog.

      I am an aspiring photographer. I have only been offering my services to the public for approx 6 months and have gotten great feedback. In the beginning I was practically doing the sessions for free to get my name out there, practice, and figure out the ways of how I wanted to run my business. I have some sessions behind me and would love to start making money with my hobby/passion. I was hoping to gain some knowledge and advice from you in reference to how to continue to get my name out in the area and begin to make a profit. Any and all ideas that you have or suggestions would be greatly appreciated.

      In effort to grow my business I have volunteered at my local Humane Society and began taking photos of the available dogs for adoption, they allow me to watermark my photos. I have been asked to photograph a Bark for Life Relay Event for the American Cancer Society on April 20th. I have offered mini sessions, discount pricing, gift cards, contests on Facebook but no sessions scheduled at this point for this year and the weather is starting to break.

      Again I appreciate any and all help/knowledge that you can share. If you have questions for me to answer to better help you to give me advice I would be more than willing to answer those because I am passionate about photography and would love to make it a full time profession.

       

      Dear aspiring photographer:

      Thanks so much for your e-mail and congratulations on starting your business.
      Agh, I feel your pain on booking sessions, but don’t give up and keep at it.  The market is a fierce one, as there are many photogs that have been around and many, like yourself, breaking through.  Business for me has been a slow uphill climb.  This is my 11th year in business and as the years have gone by, I find that the years flux with people booking far in advance and then there are years where there are so many last minute bookings that it is hard to keep up with.  I think the way you are getting your name out there is fabulous.  Keep on shooting, shooting and shooting.  Keep looking at sites and continue to glean information where you can get it.  If there are any networking places to get involved in, do so. I started in the wedding industry by picking up a Minnesota Bride (a local magazine like the Knot) and flipping through the various photogs and calling and asking them to review my portfolio and second shooting for cheap.  I thrird shot, carried bags, loaded film (yes that was 10 years ago!!) and was a fly on the wall for anyone who would let me come watch how the process worked.  I interned for free at a commercial studio (and found out I hated that side of photography!!) I worked at photo processing centers like pro-ex and a local processing studio, and eventually landed a job with a documentary photographer who shot a lot for Sports Illustrated, Time/ Life magazine, General Mills and other companies in the Minneapolis area.
      After working with him and other wedding photographers, I fond myself to really love weddings, than man I worked for didn’t shoot them, and slowly started booking my own weddings.  Eventually we parted ways, and I went into the wedding world.  I have to say that my time with him was INVALUABLE.  It was a richer, more hands-on experience than the schooling I had received (I was a studio art major with an emphasis in photography in college).  So all that said, if you can find someone to intern with or any kind of mentor in your area, it would benefit you greatly.  Even if you worked as an assistant in your free time (wait what is that?!!) for free, you would glean so much!!
      Even though I have been in business for 11 years, I am still learning and growing and the market continues to change as the trends do.
      Hopefully that helps a bit, feel free to e-mail if you have further questions and keep at it.  If you are passionate about it and making it a profession, it takes a lot of blood, sweat and tears, but it will come to you!

        For Photographers:: Client get to know you doc

        Today I am responding to some wonderful photogs on a forum that I just recently joined.  It is awesome and has challenged me at this point in my business to re-start, re-vamp and really think deeply about where I want to take my business.  What has been working for the past years is now changing, and rather than stand still and wait, I am moving forward to where I want to be.  Being 10+ years in business, things have changed over time, but one thing has remained a constant; clients want to be known.  This blog post comes from a response to a question on the forum.

        Because I really like to get to know my clients, and because after the wedding day I want to be able to send out their wedding as soon as possible for submissions as well as vendors, I have found this wonderful client questionnaire document  helpful.  It is actually adapted from Justin and Mary’s site, so I give them all the credit.  I have changed things according to my liking, but I hope it brings you help as you need it!
